Position Summary

An independent, self-starter that can learn new concepts quickly and implement systems to streamline office operations and organization.  Individual must be reliable, organized and be willing to perform a wide variety of accounts payable and administrative tasks.  Key competencies include: Organization and planning skills, work management and prioritizing skills, verbal and written communication skills, problem solving ability, attention to detail, accuracy, flexibility, reliability and teamwork.

Essential Functions:

  • Provides assistance to staff accountants and leadership through general accounting practices:
    • Reviews and enters journal entries and credits for multiple properties and accounts
    • Reconciles records and provides basic analysis of expenditures and accounts
    • Processes check requests, credit card statements, invoices and other expenditures from internal team, customers and vendors, ensuring proper control measures are maintained.
    • Provides assistance in monthly, quarterly or annual reporting needs and requirements
    • Prepares and maintains all accounts payable reports, spreadsheets and corporate accounts payable files
  • Acts as a liaison between corporate, satellite accounts or properties, customers and vendors
    • Track intercompany expenditures and generate intercompany invoices
    • Respond to all vendor inquiries including reconciliation of accounts
    • Reconcile vendor statements, research and correct discrepancies
  • Performs other duties as assigned
  • Provides regular and reliable attendance

Job Qualifications:

  • 1-3 years of book keeping, accounts payable or receivable experience and demonstrate a familiarity with basic accounting principles and procedures

Skills/Qualifications:

  • Strong proficiency in computer applications such as Microsoft office suite, QuickBooks, or other advanced accounting software
  • Keep attention to detail and high level of organization
  • Must be resourceful and self motivated to work well under pressure
  • Excellent communication skills, including writing, proof reading skills, and speaking with a high degree of professionalism; including developed understanding and ability to maintain sensitivity and confidentiality of business related matters.
  • Ability to manage multiple projects and work assignments from a variety of staff
  • Fantastic customer service ethic and high expectations for quality
  • Strong analytical skills
  • Experience with office administrative management is a plus

 

Physical Demands:

This is a largely sedentary role; however, some filing is required, which would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.
