Overview

We are seeking a high-energy, creative, result-oriented individual to join our dynamic sales team. You will report the Corporate Director of Sales while working in a fun and upbeat environment where creative input is valued. Responsibilities include, remotely managing a small portfolio of hotels, preparing and sending agreements, prospecting for new business via telephone and email, responding to current clients and new inquires, compiling reports, entering sales information into Sales CRM, daily use of Microsoft Office and effective communication with the Sales & Revenue Team.

 

Responsibilities

  • This position will spend approximately 70% of their time performing administrative duties and 30% of their time performing sales
  • Complete weekly sales activities to assigned hotel (Goals TBD by Regional Director of Sales and VP, Sales & Revenue Management)
  • Generate group and/or corporate leads through internet prospecting, networking, and telemarketing
  • Qualify sales leads generated by General Manager and Sales Management Team
  • Participate in weekly/monthly/quarterly/annual meetings
  • Send leads to Centralized Sales Team
  • Assist in training Front Desk Team to sales and revenue management initiatives
  • Take booking inquiry information via phone/email and prepare proper paperwork
  • Implement and communicate revenue management reports: IE. Daily Detailed Report, 10 Days RevMax, etc.
  • Handle individual reservations for clients/groups as needed. Ensure that all arrangements, including upgrades, are handled properly, coordinating with other departments through oral and written instruction
  • Assist customers with plans for meetings, as well as scheduling and monitoring meeting functions
  • Confidently conduct property tours with clear communication of hotels' amenities
  • Assist with follow-up on rooming lists, direct bill, and other logistical requirements for previously booked business
  • Ensure the prompt servicing of groups and accounts. Assist with major group check-ins as needed
  • Organize, file and retrieve documents in appropriate files/binders to maintain essential records used in the department operation
  • Follow consistent sales office procedures by updating account database; record account activity, call reports, traces, and history in SalesPro
  • Update BT Volume Report and GRC, Group Rooms Control Log by due date
  • Generate guest room revenue for the hotel by booking inquire business (rate guidelines will be provided).
  • Generate meeting room revenue for the hotel by booking inquire business (rate guidelines will be provided
  • Uses various computer word processing and other software packages to enter data, produce contracts, correspondence, forms, memorandum and other documents
  • Be required to be cross trained with other departments and may be required to perform such task on a periodic basis
  • Participate in company sales blitzes on a regular basis
  • Attend company meetings to exchange product information and coordinate work activities with other departments.
  • Represent the hotel in public affairs in the surrounding community and in the hospitality community in your region.
  • General secretarial and administrative tasks including receiving and screening phone calls/emails, scanning, filing, office organization, typing and proofing correspondence
  • Effectively communicating between the corporate office and hotels (including reading and responding to email, preparing monthly newsletters, policy updates, correspondence, training, meeting and webinar information, etc.)
  • Greet each guest that you encounter during your shift with a friendly smile.
  • Ensures uniform and personal appearance are clean and professional.
  • Follow hotel procedures for reporting and turning in lost and found articles.
  • Coordinate with other departments as necessary to resolve service requests or problems.
  • Ensure guest and associate safety by following established security procedures including emergency procedures, key security and protecting guest and company confidential information.
  • Follow all company and safety procedures; report accidents, injuries, and unsafe work conditions to manager; and complete safety training and certifications.
