We are looking for a Special Events Planner ("SEP") to focus on wedding events at many venues in the Tampa area while consistently achieving individual monthly sales revenue objectives. This requires active participation in securing business relationships, attending all individual client events to ensure satisfaction and to deliver on client expectations. SEPs are expected to conduct venue "site visits" with the client to further build the relationship, trust and confidence in the SEP and the company.  They are also responsible for maintaining ongoing relationships with appropriate business partners and clients based upon individual market assignments. 

Primary Job Functions:

  • Systematically develop new business each month though extensive networking, prospecting and following up on all leads to ensure consistent sales performance requirements
  • Establishes business relationships with different venue operators to increase business opportunities and create top of mind awareness of Puff 'n Stuff Catering
  • Actively follows up (within one business day) on all leads, e-mails, voice mails, etc.
  • Follows up during every phase of the sales cycle with direct client contact to ensure customer satisfaction and repeat business opportunities
  • Communicates effectively both internally and externally to provide clients with a high quality, outstanding event experience
  • Maintains database of pertinent information on clients through Caterease software program
  • Follows through on all commitments with clients, co-workers, Management and Ownership
  • Prepares timely proposals with a focus on creativity, customization of menu's harnessing the resources and value that company provides to clients
  • Communicates to client all pricing with accurate information on subcontracted services, service personnel, venue fees and delivery fees along with food, beverage, and company owned rentals-SEP to make sure deposits are communicated to client and received as valid before the event date occurs.
  • Tracks all sales opportunities through Caterease software program and provides  clear and complete documentation of the work order, follows up with appropriate staff to ensure timely communication and  client expectations based on established deadlines-"No last minute surprises for staff"
  • Participates in bi-weekly sales meetings and monthly account reviews providing explanation of "Tentative Status" accounts as well as all sales results
  • Provides monthly forecast of sales to yield consistent results
  • Availability during, but not limited to, normal office hours with cell phone availability and after-hour events attendance as required by the company and clients to ensure satisfaction
  • Attends site visits with clients as dictated, attends industry related functions, and maintains membership in appropriate related organizations
  • Manages and builds positive relationships with all clients, co-workers and outside vendors partners including florist, photographers, venues, etc. Plays a "hands on role in establishing and fostering those relationships
  • Demonstrates and contributes to a helpful and positive work culture
  • Adheres to all company policies, procedures, and guidelines

Finalize event contracts and liaison with Puff 'n Stuff management on contractual change requests.

Identify areas which can have improved efficiency and effectiveness in Puff 'n Stuff's sales and operations that may result in improved financial results.

Requirements:

  • Bachelor's degree in Event Management or Hospitality
  • 3-5 years experience as Catering Sales Manager, preferably in the Tampa Bay Area
  • Proven ability to develop and manage $1,000,000 in annual sales
