Job Description:
The Sales & Events Coordinator will provide administrative & proactive sales support by conducting research, preparing reports, resolving guest issues, preparing correspondence internal and external, assisting with the management of catering events / group blocks, and providing hotel tours for prospective clients.
Other key responsibilities include being on property prior to and during events to ensure proper execution per the details of the Contract and Banquet Event Order. This requires the Sales & Events Coordinator to have open work availability including the ability to work some evenings and weekends as business/event needs dictate. Other miscellaneous tasks may be assigned by the General Manager and Director of Sales.
Essential duties and Responsibilities:
- Take booking inquiry information via phone/email, qualify the business, and prepare proper paperwork including Proposals, Contracts, Banquet Event Orders & Event Checks.
- The Sales & Events Coordinator will be required to be on-property during events held at the hotel.
- Weekly work schedule will vary depending upon scheduled events for that week. Variations from the schedule must be approved by the Director of Sales/General
- Follow consistent sales office procedures by updating account database; record account activity, call reports, traces, and history in Delphi.fdc
- Organize, file, and retrieve documents in appropriate files in SharePoint and Delphi to maintain essential records
- Complete weekly Delphi sales tasks/activities (Goals TBD by Regional Director of Sales and VP, Sales & Revenue Management). Monitor and control the Delphi GRC Calendar to ensure all bookings are updates and feature the proper booking Update Actuals monthly after the Group/Event has checked out of the hotel.
- Participate in weekly/monthly/quarterly/annual meetings, including but not limited to BEO, SMERF, and F&B
- Ensure the prompt servicing of groups and Assist with major group check-ins as needed
- Handle individual reservations for clients/groups as needed. Ensure that all arrangements, including rooming list entry, Group Master & R&I updates are handled correctly, coordinating with other departments through oral and written instruction
- Assist with follow-up on rooming lists, direct bill, and other logistical requirements for previously booked business
- Generate guest room, function room and catering revenue by closing inquiries received via phone, email, RFP, or in-person.
- Qualify sales leads generated by General Manager and Director of Sales
- Confidently conduct property tours (Site Tours) with clear communication of hotels' amenities
- Assist in training Front Desk Team to sales and revenue management initiatives
- Required to be cross trained with other departments and may be required to perform such task on a periodic basis
- Overall Guest Satisfaction is of highest priority! This associate must follow all guidelines and training set forth by management and the hotel specific brand.
- Uses various computer word processing and other software packages to enter data, produce contracts, correspondence, forms, memorandum, and other documents
- Perform other duties as required or assigned by General Manager, Director of Sales and Regional Sales Team.
